We have been asked to review existing processes and procedures within the organisation and propose improvement solutions.
Some of the issues that were highlighted:

Processes in finance department were too complicated.

Weekly reporting contained errors. The errors were significant; performance of the weekly board meetings was being affected.

Payroll process that was manual & was consuming a significant amount of staff time and was prone to errors.

Client invoicing was manual and it was consuming a significant amount of time and was prone to errors.

#Solution

Old and outdated Excel templates which were created by former employees were replaced with new robust templates and user friendly automated solutions. It was taking an average 2 days to complete weekly reporting and it could go as high as 3 days (weekly dashboard, scorecars and other).

A new payroll solution has been developed to replace the old one, which used to take at least a full day and sometimes longer to process weekly payroll. Now it takes few minutes. The new tool can process the same data in just a few minutes, and it won't be affected by increased workload.

A new invoicing solution has been developed to replace the old one, which used to take at least 4 hours to process. Now it takes few minutes. The new tool can process the same data in just a few minutes, and it won't be affected by increased workload.

Excel training was provided to the employees to enhance their productivity in the future. The training turned out to be a huge success, particularly when the employees learned how to use pivot tables effectively.
